STANDARD TERMS & CONDITIONS FOR DOG DAY CARE AND GROOMING


Our customers are asked to agree to the following terms before signing their dogs into dog day care at Hounds Daycare.


Hounds Daycare hereby agree that we shall act with integrity, responsibility and trustworthiness to clients, client’s pets and client’s property. The welfare of client’s pets is paramount and their safety and wellbeing shall not be made subordinate to any other consideration. 


1. By enrolling the above named dog(s), I represent that I am the legal owner of the named dog(s) and I assume all risks, dangers and responsibility for injuries to the named dog(s).


2. All dogs must pass a general behaviour assessment in order to attend dog day care. I confirm my dog(s) is friendly to other dogs and humans and shows no aggression unless I have made you fully aware of it. Any dog demonstrating aggression or other behaviour deemed to be unacceptable by Hounds staff may be required to leave daycare irrespective of the length of time the dog has been enrolled.


3. My dog(s) is fit and healthy to take part in any activities whilst at Hounds, and is capable of play and exercise with other dogs unless I have made you aware.


4. My dog(s) is healthy and will at all times while attending Hounds, have current vaccinations including the kennel cough vaccine and regular treatment for worms, ticks and fleas. I will provide Hounds with an up to date copy of my dog(s) vaccination record annually. I am not enrolling any dog in Hounds that has any condition that could potentially jeopardize the health of other dogs or people and has not had any potentially communicable condition within 21 days prior to enrolment. I also understand that even if my dog is vaccinated for Kennel Cough there is a chance that Kennel Cough can still be contracted. I agree that I will NOT hold Hounds responsible if my dog(s) contracts Kennel Cough.


I am responsible for ensuring the efficacy of any treatment that I give my dog(s) for worms, fleas and ticks. In addition, I agree to check my dog regularly for ticks and fleas and to inform Hounds of any unwanted passengers. In the event of any fleas being present, I understand my dog(s) will not be able to attend daycare until they are flea free.


If I choose not to vaccinate my dogs I will provide a current titre test. 


5. My dog(s) will wear a suitable collar with an identity tag at all times and has been microchipped.



6. To have appropriate insurance to cover my dog(s) personal injury in the unlikely event of an incident alternatively, I agree to cover any costs relating to accidents that may occur at Hounds which result in injury to my dog. All interaction and dog play is monitored by daycare staff to avoid incidents however, I understand my dog(s) may sustain accidental injuries and I agree to cover any veterinary fees pertaining to my dog. Hounds nor its employees will not accept responsibility for the death, injury or illness of your dog whilst at daycare. You are strongly advised to insure your pet for all eventualities.


7. My dog(s) has not been suffering from any infectious or contagious diseases/illnesses or been exposed to such a disease/illness during the 21 days prior to attending Hounds.


8. My dog(s) is able to share play areas within the day care centre.


9. If required, my dog(s) is able to be let off the lead on walks away from the centre, unless the owner has requested otherwise.


10. My dog(s) is able to travel within the purpose built transport with a dog from another household providing they have been introduced prior to travelling and staff at Hounds are confident that both dogs are safe to travel together.


11. We reserve the right to act in the best interests of the dog at all times this includes seeking veterinary advice if he/she becomes ill. We will contact you immediately should your dog become ill. If you cannot be contacted within a reasonable time or have chosen not to be contacted we reserve the right to seek appropriate and swift veterinary attention and proceed with treatment regardless of costs, which you agree to cover. We will do everything needed for the dog as regards treatment, comfort and recovery. If euthanasia is absolutely necessary (determined by the vet) for whatever reason excluding behavioural (aggression etc) we will accept and act upon that vet advice.


12. We reserve the right to refuse admittance to any dog or to dismiss any dog that does not meet the health, temperament or other daycare standards. The determination shall be made at the sole discretion of daycare staff. Please note, we would appreciate no less than 24 hours notice of any cancellations. Any late cancellations will be liable for the full charge if we are unable to fill the space. An emergency number will be provided for anything concerning my dog or my property.


13.Hounds use the My Pet Walker App to keep up to date with your dogs behaviour and heath, including allergies. We will ask for this to be checked and updated every 3 months, but should there be any changes to your dogs behaviour or health, a staff member at Hounds should be informed and their health profile updated. 


14. Extreme weather. Hounds reserve the right to close to centre if weather conditions are too extreme for it to be safe to run. In cases of extreme heat or cold, Hounds may run emergency daycare for those who require it, this is at Hounds discretion. Should the day be cancelled you will receive a refund for the day. 


15. Gift vouchers. Should you receive a gift voucher for daycare these are non exchangeable and have no monetary value. All settling in sessions need to be completed before booking daycare. 


Hounds holds a Combined Liability Insurance Policy which covers loss and/or damage to third party property and/or bodily injury to third party persons. Please ask for more details regarding the insured risks and we will be pleased to provide further information.


It is important prior to registering your dog that you have read and understood all of the following terms and conditions expected by Hounds Daycare to ensure the safety of our staff and guests. 




DAYCARE AND HOME BOARDING TERMS AND CONDTIONS 


The followings terms and conditions refer to the use of our dog day care and home dog boarding service, and are to ensure the safety and liability of your dog/s whilst using said service:


1. By


a) registering on our online booking system Collar


b) enrolling a dog with Hounds Daycare 


c) using our dog day care and/or our boarding services


d) agreeing to a tour of our facilities, you confirm that you have read and agreed to the following terms and conditions, including the payment and cancellation policy.



2. Bookings are not confirmed until payment has been made. Hounds cannot be held responsible for keeping bookings open any longer than 24 hours without payment.


3. You are responsible for supplying a suitable secure fitted dog collar and lead for your dog’s time at Hounds Daycare. Your dog must be put on said lead before exiting your vehicle in the car park and must remain so throughout the handover.

 


4. You must inform us of any aggressive behaviour your dog has shown towards people or other dogs. Including incidents that may occur after enrolment, you should contact us prior to future bookings to inform us in changes to your dogs behaviour and character. We cannot accept dogs with extreme behavioural problems without enrolment onto our behavioural programmes. 



5. Hounds may terminate a service arrangement immediately if it is thought that your dog has behaved badly or aggressively towards people, other pets or property. You will be liable if your pet injures a third party or any Hounds staff. We also reserve the right to terminate or postpone your service if you fail to adhere to arrival policies and agreed timings.



6. By using Hounds Daycare, you acknowledge and understand that there are certain risks involved in participating in dog day care and boarding and in owning, training, caring for, handling and being in the presence of dogs, including but not limited to injuries to people, property and animals resulting from dog fights, dog bites to humans or other dogs and the transmission of disease. 



7.If you need to drop off or collect your dog either before or after our opening hours an additional charge may apply and you’ll need to arrange this in advance.​



8. Female dogs who come into season will not be able to attend Hounds for the duration of their season. Hounds Daycare take no responsibility should said dog become impregnated. 



9. An assessment is necessary for all dogs that wish to attend day care or home boarding. All dogs that attend must be good-natured, unaggressive, sociable, and have a good level of basic training.



10. Before attending all dogs must be vaccinated against the following: Distemper, Hepatitis, Parvo-virus, Parra influenza, Leptospirosis, Parasites and Infectious tracheobronchitis. Proof of current vaccinations will need to be provided prior to service starting. Should a dog not be vaccinated, an up to date Titre test should be provided. 

 


11. Your dog must also be treated with a veterinary approved topical flea and worm treatment, we may ask for proof of this & dates of application.



12. When you register please provide a copy of your dog’s vaccination records or titre test. We will also expect to know the details to your local veterinary surgery where your pet is registered. We reserve the right to request proof of vaccinations at any time.

 


13. In the event your dog becomes ill, we will make every effort to contact you or your nominated contact. However, if we are unable to contact you, or if the situation is deemed time critical, your dog’s interests will become paramount and we will take your pet to our registered veterinary surgery for treatment. Any treatment given will be at the discretion of the vet, and payment will be your responsibility.

 


14. Should any dog show aggressive tendencies to people or other dogs, or become uncontrollable, you or your nominated emergency contact will be informed by phone in order to collect your dog as soon as sensibly possible. 



15. You accept that should we deem it necessary, staff may muzzle or crate your pet.

 


16. You agree to be responsible for any additional charges, including but not limited to, payment for damage caused, vet fees and any additional food required. These charges must be paid on collection of the dog.


17. Photography: During your dog’s stay they may be photographed, and these images may be used on the Hounds website, social media outlets and printed literature. If you don't want your dog to be photographed, please email info@houndsdaycare.co.uk. 


18. All photos taken remain the property of Hounds Daycare.


 

19. You, the client, will indemnify Hounds Daycare against any claims for loss or injury caused to either, Hounds staff, Hounds property or other clients’ dogs which are caused by your pet or as a result of breach of these terms and conditions, negligence or otherwise.


 

20. You recognise the risks associated with Hounds transporting your dog to and from the property, to a vet or on any other walks or days out and you expressively relinquish any and all claims against representatives.


21. We accept no responsibility for damaged or lost collars, harnesses or accessories.


22. In the event of requiring emergency treatment, the Client agrees that the designated emergency vet of Hounds is authorised to treat. In any other circumstances the Client will be contacted and treatment/appointments will take place through their dog’s regular registered vet where possible. The details of each centre’s registered vet can be found at the reception of each centre, details can be shared and a certificate of partnership will be displayed.


23. The owner or designated main point of contact must be contacted to give consent for euthanasia in ALL circumstances where this is recommended as the course of action by a veterinary professional. Should the client and the dog’s emergency contact not be contactable, veterinary advice will be followed. In the unfortunate circumstances of an emergency, where warranted Hounds vows to keep a record of all euthanasia and the identity of the qualified veterinarian that carried it out.


24. Medicines instructed to be given to their dog during day care at Hounds by the Client will be stored, used and disposed of in accordance with the instructions of the manufacturer. Medicines will only be administered to their dog with the Client’s consent following veterinary advice.


25. The Client consents that crates may be used for rest breaks and feeding if required and in the event of exceptional circumstances to maintain dog and human safety as appropriate and only if absolutely necessary, their dog may be placed in a crate for a limited time. Dogs will not be placed in a crate for longer than one hour in any 8 hour period as this is the guidance under the Animal Welfare (Licensing of Activities Involving Animals)(England) Regulations 2018 – Statutory Guidance for providing day care for dogs.


26. If the Client supplies their dog with a daily meal whilst at Hounds then the Client understands their dog will be fed in a separated area in isolation from other dogs.


27. By attending Hounds, the Client consents for Hounds to feed their dog food supplied by the Client.


28. All dogs who attend Hounds partake in an enrichment programme that involves socialisation, play, scents, snacks and interaction and by sending their dog to Hounds, the Client consents to their dog partaking in these activities, appropriate adjustments will be made to allow the participation of dogs with special requirements.


DAYCARE AND BOARDING PAYMENT AND CANCELLATION POLICY 



1. Day care bookings must be paid for upfront. 


2. Once your booking request has been accepted, payment must be made at least 24 hours before attending, otherwise the booking will be lost. 


3. For non regular users bookings will not be confirmed until the payment is made and Hounds will not reserve unpaid bookings for longer than 24 hours.​


4. Payments are to be made via our third-party secure credit card company: Stripe via the Collar, or by bank transfer. Cash will be acceptable if agreed previously. Standing orders are set up for all membership options. 


5. By adding a Debit or Credit Card to your account on our secure online booking portal Collar, you are agreeing to have payments automatically taken, or refunded, at any time, for confirmed day care and boarding bookings. ​


6. If you collect your dog before the confirmed end date and time of their stay you will not receive a refund or partial refund. 


7. Due to limited capacity payments are non-refundable if the slot is cancelled after 24 hours before the session. 


8. Hounds is not subject to Distance Selling Regulations. By paying your balance you are confirming your booking and therefore entering a legal contract with Hounds subject to our Terms and Conditions.


9. By signing up to membership option you agree to pay the agreed amount monthly by standing order, to be set up to start on the 1st of the month each month. Hounds reserve the right to refuse entry if payment has not been cleared.


10. If a membership option is taken, should you not need to use your daycare, you will lose this day unless otherwise agreed with Hounds Daycare.


11. Hounds shop credit is only redeemable against Hounds products, not items ordered through third parties. 


12. Bulk buy options are not limited to a use by date, however they are non refundable. You are able to change those dates an unlimited amount of times, however this needs to be a minimum of 24 hours before each booked day.




PRIVACY POLICY


On 25th May 2018 the General Data Protection Regulation (GDPR) will replace the Data Protection Act of 1998.


GDPR states that the personal information we hold about you must be:


Used lawfully, fairly and in a transparent way.

Is collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.

Is relevant to the purposes we have told you about and limited only to those purposes.

Is accurate and kept up to date.

Is kept only as long as necessary and solely for the purposes we have informed you of.

Is kept securely.

Privacy Policy


This Privacy Policy explains how we use personal information we collect from you during the course of our business with you.


Your Data


1 We collect data about you when you start to use our daycare services.


2 This data may include, but is not limited to, your name, your address, your mobile and home telephone numbers, your email address, your dog’s details and your vet’s details


3 We use this information to conduct business with you, for internal record keeping and occasionally for marketing purposes.


4 To enable us to deliver a first class service we may use service providers, such as cloud based software providers, to assist with the day to day management of your bookings and for accounting purposes. The companies hosting these software systems are GDPR compliant.


4 Your data is stored for the length of time we consider you an active client, and for a period of 7 years following the termination of business between us. This period is determined by HMRC who request that business records are retained for this period.


5 You have a right to ask for details of the data that we hold on you and can request for that data to be deleted. If you have any complaints about the way that we are handling your data, in the first instance, please contact Kirsti Williams at info@houndsdaycare.co.uk If you are not happy with our response or believe that we are not processing your data in accordance with the law, you can contact the Information Commissioner’s Office (ICO). Contact details are on their website – www.ico.org.uk.


6. We will never knowingly sell your data to a third party without your consent.


Data Storage and Security


Only persons who need the information to fulfil their duties are granted access to personal data. We may require you to cooperate with our security checks before we disclose information to you. You can update the personal information that you give us at any time by contacting us directly. Your information is held within the My Petwalker app - please refer to their privacy policy for more details.
